Meeting Scheduling (Client Portal)

Allow your clients to book meetings directly through their Client Portal. By connecting your Google Calendar and setting up a Google Appointment Schedule, clients can see your availability and book time with you — all without leaving OneSuite.

CRM Meeting Tracking

Keep track of all your business meetings automatically. When you connect your Google Calendar under Settings > Calendar, OneSuite syncs your calendar events and matches them to your CRM contacts (People and Companies). You can view past and upcoming meetings on any contact's profile, and OneSuite will even auto-create CRM records for new external attendees.

Installation

Google Calendar can be connected for two independent purposes. Follow the relevant guide below.

Connecting Google Calendar for Client Portal Scheduling

Let your clients book meetings directly through the Client Portal by connecting your Google Appointment Schedule.

  1. Navigate to Scheduling and click "Connect Google Calendar"

    In OneSuite, open Settings from the left sidebar, then go to Client Portal → Scheduling. You'll see cards for all available scheduling providers. Find the Google Calendar card and click the "Connect Google Calendar" button to start the connection process.

  2. Connect a new Google account

    A dialog will appear asking you to select a Google Calendar account. Click "+ Connect a new Google account" to add a new one, then click "Confirm". You'll be redirected to Google's sign-in page.

    If you already have a Google Calendar connected under Settings > Calendar (for CRM), it will appear here as an option you can reuse.

  3. Select your account and authorize

    On Google's sign-in page, select the Google account you want to use for scheduling. Then review the permissions OneSuite is requesting — access to see and download your Google Calendar data — and click "Continue" to grant access.

  4. Paste your Appointment Scheduling link

    After authorizing, a modal will appear confirming your Google Calendar is now connected. Paste your Google Appointment Scheduling URL into the field so clients can book meetings through the Client Portal.

    To get this link: Open Google Calendar → click on your Appointment Schedule → click the Share icon → Copy the booking page link. It should look like https://calendar.app.google/...

  5. Confirm the Connected status

    Once saved, the Google Calendar card will show a green "Connected" badge alongside your authorized email address. The Google Appointment Schedule link will be displayed on the card. The integration is now live — your clients can book meetings through the Client Portal.

Connecting Google Calendar for CRM Meeting Tracking

Sync your calendar events into OneSuite and automatically match meetings to CRM contacts.

  1. Navigate to Calendar settings and click "+ Add Calendar"

    In OneSuite, open Settings from the left sidebar, then go to Integrations → Calendar. You'll see the Connected Calendars section showing your plan's calendar limits. Click the "+ Add Calendar" button to begin.

  2. Select Google Calendar and connect

    You'll see the available calendar providers — Google Calendar and Outlook Calendar. Find the Google Calendar card and click "Connect Calendar" to start the OAuth flow.

  3. Select your Google account and authorize

    You'll be redirected to Google's sign-in page. Select the Google account you want to use for CRM meeting tracking. Then review the permissions — OneSuite requests access to see and download your Google Calendar data — and click "Continue" to grant access.

  4. Calendar connected — sync begins automatically

    You'll be redirected back to OneSuite. Your Google Calendar will appear in the Connected Calendars table with an "Active" status. Your primary calendar will be synced automatically — this includes events from the past 12 months and the upcoming 3 months. Meeting data will begin appearing in CRM People and Company profiles under the Meetings tab.

Usage

Once connected, Google Calendar appears across multiple areas in OneSuite depending on the integration type.

Client-facing

Client Portal — Scheduling

After setup, the Google Calendar appointment page is embedded in the Client Portal's Meetings page. You can update the appointment URL anytime from Settings > Client Portal > Scheduling > Google Calendar.

CRM

CRM — Meeting Tracking

Navigate to CRM > People or Companies, select a contact, and click the Meetings tab. Meetings are automatically matched by attendee email addresses and email domains.

How clients book a meeting

Here's what the experience looks like from your client's perspective in the Client Portal.

  1. Select an appointment time

    From the Client Portal sidebar, clients click "Schedule a Meeting". The Google Calendar appointment scheduler is embedded directly in the page, showing available dates and time slots. Clients pick a time that works for them.

  2. Fill in details and book

    After selecting a time slot, a dialog appears showing the meeting details (title, date, time, and timezone). Clients enter their first name, last name, and email address, then click "Book" to confirm.

  3. Booking confirmed

    A confirmation screen shows "Booking confirmed" with an email sent to the client. The meeting details — date, time, timezone, and meeting type — are displayed. Clients can cancel their appointment if needed.

  4. Ready for another booking

    After closing the confirmation, the calendar returns to the available time slots view. Notice that the previously booked time slot (e.g., 10:00am on Wednesday) is no longer available — it's automatically removed to prevent double-booking. Clients can schedule additional meetings at any time by selecting another slot.

Meeting details in CRM

Each synced meeting shows comprehensive details for your team.

  • Meeting title, date/time, and organizer
  • Attendees with their response status (accepted, declined, tentative)
  • Meeting URL (e.g., Google Meet link)
  • Auto-created CRM Companies from attendee email domains
  • Auto-created CRM People for external attendees

  • Click the Sync (refresh) button on the Meetings tab to force a fresh sync
  • OneSuite auto-creates CRM Companies from attendee email domains (e.g., [email protected] creates "Acme")
  • Free email providers (Gmail, Yahoo, etc.) are excluded from auto-company creation
  • Toggle calendar visibility in the Task Calendar widget via calendar account settings
Removing the integration

Uninstallation

The two integration types are independent — disconnecting one does not affect the other.

Disconnect from Client Portal Scheduling

  1. Navigate to Settings > Client Portal > Scheduling

  2. Click the Google Calendar tab

  3. Click the "Disconnect" button next to the connected email

  4. Confirm the disconnection in the popup dialog

The appointment URL and connected account will be cleared. Clients will no longer see the Google Calendar booking option.

Disconnect from CRM Integration

  1. Navigate to Settings > Calendar

  2. Find the connected Google Calendar account in the list

  3. Click the three-dot menu (⋮) on the calendar card

  4. Select "Remove account" and confirm

The calendar account and all its synced events will be deleted from OneSuite. Meetings previously shown on CRM profiles will no longer appear.

Revoking access from Google's side

Go to myaccount.google.com/permissions, find OneSuite in the list of third-party apps, and click "Remove Access". Then disconnect the calendar from OneSuite settings as described above.

Troubleshooting

Common issues and how to resolve them.

"Calendar limit reached for your plan"
Your subscription plan has a maximum number of connected calendars. Upgrade your plan or disconnect an existing calendar to free up a slot. This limit only applies to CRM integration calendars, not scheduling.
Google Calendar won't connect / OAuth error
Ensure you are signing in with the correct Google account. Check that you clicked "Allow" on Google's permission screen. If you see "Failed to exchange authorization code for tokens," try again — the code may have expired. Clear your browser cookies for accounts.google.com and retry.
Meetings not showing up in CRM
Ensure the calendar is connected under Settings > Calendar (not just Client Portal scheduling). Click the Sync button on the Meetings tab to trigger a fresh sync. Meetings are matched by attendee email — make sure the CRM Person has the correct email. Only events from the past 12 months and upcoming 3 months are synced.
"Token revoked — reconnect required"
This means Google has invalidated OneSuite's access. This can happen if you changed your Google password, revoked access from Google Account settings, or the refresh token expired. Go to Settings > Calendar, click the three-dot menu on the affected calendar, and select "Reconnect".
Appointment scheduling link is invalid
The appointment URL must match one of these formats: https://calendar.app.google/... or https://calendar.google.com/calendar/appointments/schedules/... Make sure you're copying the booking page link from your Appointment Schedule (not a regular event link).
Clients see "Meeting scheduling is not set up yet"
This means no scheduling provider has been connected and configured. Go to Settings > Client Portal > Scheduling and set up at least one provider (Google Calendar, Calendly, or Outlook).
Duplicate meetings appearing
OneSuite has cross-provider deduplication built in (using iCal UIDs). If you see duplicates, try clicking Sync — the system will skip events that already exist. If the issue persists, disconnect and reconnect the calendar.
Calendar events not auto-syncing
OneSuite uses background cron jobs to refresh tokens every 30 minutes and periodic event sync. If events seem stale, use the manual Sync button. Ensure the calendar account shows as "Active" in Settings > Calendar.
